A three-step method for identifying and simplifying broken processes
The word systems can feel intimidating especially if your business grew quickly or evolved organically. Many business owners assume they need complex software, detailed SOPs, or a full operational overhaul to “do systems right.”
But here’s the truth:
You don’t need more systems or complicated ones at that. You need clearer ones.
Most overwhelm doesn’t come from a lack of structure, it comes from too many half-built processes running in the background of your business. The good news? You can audit and simplify your systems without tearing everything apart.
This three-step method will help you identify what’s broken, what’s working, and what actually deserves your attention, without the overwhelm.
When systems aren’t working, the symptoms are obvious:
A systems audit isn’t about perfection.
It’s about creating clarity and reducing friction so your business can support you, not drain you.
Before you try to fix anything, you need visibility.
Many business owners audit systems based on how they intend things to work, not how they actually work day to day. That gap is where overwhelm lives.
Start by mapping only the core areas of your business:
Ask yourself:
Write it down simply. This isn’t about documenting every detail, it’s about process awareness.
Once you can see the flow, look for friction.
Friction is anywhere your system:
Instead of asking “What’s broken?” ask:
What feels heavier than it should?
Common friction points include:
These aren’t failures, they’re signals.
Highlight the top 3–5 friction points causing the most stress.
That’s all you need to focus on.
This is where most people get it wrong.
They jump straight to new tools, platforms, or automations, which adds layers of complexity on top of broken processes.
Instead, ask three simplifying questions for each friction point:
Often, the solution isn’t a new tool, it’s a clearer process.
Only after simplifying should you ask:
Can this be automated or delegated?
Automation works best when it supports clarity and not chaos.

Here’s what simplification in action might look like:
To keep this process manageable:
Systems are living things. They evolve as your business grows.
The goal isn’t to have perfect systems, it’s to have systems that work for this season of business.
A systems audit isn’t busywork, it’s true leadership.
When your processes are clear, your energy is protected.
When your systems are simplified, your business becomes easier to run.
When overwhelm decreases, capacity increases.
If you want support auditing, simplifying, or building systems that actually support your growth, the Called to Elevate Self-Audit or a Clarity Session is a powerful place to start.
Elevation doesn’t come from doing more; it comes from building smarter.
This free self-audit helps you quickly spot what’s working, what’s wobbly, and where systems can finally stop the daily fire drills.
Follow along to build, grow, or pivot your business with strategy, structure, and soul.
